Your Server Closet Is Not a Data Center (It Knows, Too)

Somewhere in your office there's a door. Behind it hums a rack, a box fan, and a sticky note that says DO NOT UNPLUG. It used to be the supply closet. The toner is still in there. So is your entire business.

We say this with love. The office server room is a proud small-business tradition, right up there with the shared Wi-Fi password taped to the fridge. But at some point it stops being scrappy and starts being a liability. Here's how to tell, and why colocation is usually the grown-up answer.

First, what colocation actually is

Colocation means you keep your servers and move them somewhere built for them. You still own the hardware. We supply the building and everything that keeps it alive: power, cooling, security and bandwidth.

It isn't the cloud. Nobody rents you someone else's computer by the hour. Your gear, your config, your root password. Just a much, much better closet.

1. Power: your UPS is a pause button, not a plan

An office UPS buys you minutes. That's enough to shut down gracefully, assuming someone is there to do it. If the outage outlasts the battery, your servers go dark with the break room lights.

And office parks lose power more often than anyone admits. Construction crews, a tired transformer, the landlord "testing something." According to the Uptime Institute, "power remains the leading cause of impactful outages." That's in buildings designed to prevent them. Your closet was designed to hold paper towels.

At our Las Vegas data center, power is N+1 redundant, with 2N available for gear that can't blink. Discrete UPS units carry the load until the Cummins generators take over. We keep 1,500 gallons of fuel on site, plus an emergency delivery contract for the long haul.

2. Cooling: the building HVAC has a bedtime

Most office buildings run HVAC on a schedule. Evenings and weekends, it sets back to save money. Your servers do not set back. They keep making heat, and the closet keeps collecting it until something throttles or shuts down at 2 a.m. on a Saturday.

The usual fix is a portable AC unit with its exhaust hose taped into a ceiling tile. It works right up until the drip bucket fills. Ask anyone who has emptied one in a hurry.

In Las Vegas, where summer treats 110°F as a warm-up, that isn't a quirk. It's a countdown. A data center runs redundant cooling sized for racks, not for people in cardigans, and it runs every hour of every day.

3. Connectivity: one backhoe away from a very quiet afternoon

Office internet is built for email and video calls. It's usually one provider on one path into the building. Business cable often uploads at a fraction of its download speed. Fine for Zoom. Rough for serving anything your customers depend on.

Then a backhoe finds that fiber, and your customers find out you don't have a status page.

Colocation flips the model. Our Las Vegas facility is carrier-neutral, with a dedicated meet-me room and dual-entrance fiber. Our own multi-homed BGP network blends multiple upstream providers with 350+ peers. When one carrier has a bad day, your traffic takes another route. You don't open a ticket. You probably don't even notice.

Multi-homed customers get a 100% network SLA. Single-homed service is covered at 99.95%.

4. Security: the server room key is on the break room ring

Quick question: who has a key to your server room? The office manager. The cleaning crew. The IT contractor from 2019. Possibly the guy who fixed the copier once.

At our Las Vegas data center, getting in takes two factors: an entry card plus a personal PIN. CCTV covers every entrance and the data center floor. Access is logged around the clock, and a third party monitors remotely. Our Seattle facility in the Westin Building Exchange uses biometric and card entry, backed by the building's own 24×7 manned security.

When an auditor asks who touched the server last Tuesday, you'll have an answer that isn't a shrug.

5. Cost: the closet isn't free, it's just unbilled

Ask what the server room costs and you'll get a blank look. It charges you anyway:

  • The power bill for the servers, plus the AC fighting them
  • Square footage at office rents, spent on a room nobody can sit in
  • UPS batteries every few years, and a spare AC for when the first one quits
  • The priciest line item: your best technical person's evenings and weekends

Downtime costs extra. ITIC's 2024 survey found a single hour of downtime tops $300,000 for over 90% of mid-size and large enterprises. Your number may have fewer zeros. It still isn't zero.

Colocation turns all of that into one predictable monthly bill. In Las Vegas, single servers start at $69 a month, 10U partial cabinets from $339, and full 42U cabinets from $819. Power, cooling, bandwidth and physical security sit inside those numbers, not discovered later. What you actually pay depends on power draw, bandwidth and term.

Set it against what the closet already costs you in rent, power, hardware and weekends you will never get back. The closet was never free. It just never arrived as an invoice.

6. "But I need to touch my servers"

You can. Customers get unescorted access 24x7x365 at both Las Vegas and Seattle. No appointment, no escort, no waiting for someone to badge you in. Plenty of colos can't say that.

And when you'd rather not make the drive, remote hands can reboot a box, swap a drive or reseat a cable for you. Monitoring runs 24/7/365, backed by an experienced on-call engineering team.

When the office server room still makes sense

We run data centers, so weigh this accordingly. But a few things belong in the office:

  • A test bench or lab you rebuild every week
  • A local file cache or print server
  • Hardware that must sit on the office LAN, like a badge controller or camera recorder

The smart play is often hybrid. Keep the small stuff local. Move whatever your customers and your revenue depend on. If that system going down makes the phones ring, it belongs in a data center.

The five-question closet test

  1. Does your server room have dedicated cooling that runs nights and weekends?
  2. Would your servers survive a four-hour power outage?
  3. Do you have two internet providers on two different paths into the building?
  4. Can you name everyone with a key?
  5. Does anyone's vacation packing list include a laptop "just in case"?

A "no" on any of the first four, or a "yes" on the last one, means your closet is writing checks your uptime can't cash.
